tracking who needs to update reports; updating automated e-mail reminders

To See a List of which Beneficiaries or Projects have not yet Responded to Update Requests:

  1. On the left, click Report Data.


  2. On the right, under Individual Reporter Data, click Manage reporters who need to edit data.


    On the next page, you’ll see a list of those individuals who need to update their logs, along with the staff member who initiated the updating process and the date when the request was made.


    You’ll also see a column called Reminder E-mails, which lets you know which individuals are receiving ongoing e-mails that remind them to complete their reports, and which ones are not.  You may edit any existing reminder schedules or begin a new reminder series.


Editing Existing Reminders and Stopping the Reminders

  1. On the left, click Report Data.


  2. On the right, under Individual Reporter Data, click Manage reporters who need to edit data.

  3. Click Edit in the “Reminder E-mails” column.

    A new window is displayed with everything you’ll need.

  4. To STOP the reminders:
    • Click the “Stop” checkbox at the top of the page, and then click Submit at the bottom of the window. Note that this does not cancel the data editing request. It just prevents the reminder e-mails from being sent.

  5. To EDIT THE TEXT of the reminders:
    • Simply edit the text that’s displayed in the text box and click Submit at the bottom of the window.

  6. To CHANGE THE SCHEDULE of the reminders:
    • In the section “Continue to Send Reminders,” you’ll be informed of the current schedule and the date of when the next reminder will be sent.
    • In the drop-down menu listed under Edit the E-mail Schedule, set how often the reminders should be sent.

  7. Click Submit at the bottom of the window.
