Accessing Your Financial Reporting Dashboard

Follow these steps to access and review programs’ current finance metrics, submitted budgets, budget modification requests, and expense reports:

  1. On the left-hand side of your Mission Control, click Financial Reporting.
     
  2. Select the program year you’d like to access and click View Dashboard.
     
  3. On the next page, you’ll see a list of all of the programs connected to the program year.  

    If you only wish to view programs that have a budget or report that needs to be reviewed and approved, at the top of the page, click Display Programs with Documents to Screen.

    If you only wish to view programs with outstanding documents (EG, expense reports that have launched, but have not yet been submitted), select Display Programs with Outstanding Documents.
     
  4. Click on a program name to access its documents to screen, approved documents, current metrics, and program enrollment details (all of the information you entered when enrolling the program).

    1. Easily log in as any program staff member with access to financial reporting using this drop-down menu.

    2. Edit all program enrollment details by clicking the Edit link – allowing you to return to the Site Settings window to make changes.

Screening and Accessing Budgets, Modifications, and Expense Reports

You’ll access all submitted budgets, budget modifications, and expense reports via your program year’s dashboard.

Once you’re at the dashboard, select the program you’d like to screen documents for or, if you’d like to focus just on your programs with documents to screen, click the button alongside Display Programs with Documents to Screen.
 

Select the program for which you want to access data. You’ll see a list of panels. Select the one that’s relevant to you at the moment.  

Here’s a brief summary of each panel’s contents:

 

  • To Screen: This will link to forms/reports that need to be reviewed and either approved or rejected.

    To screen a document, simply click the link, review the data on the document (including any attachments), and then either approve or reject it using the buttons at the bottom of the page. You’ll also see an area where you can leave notes that will be saved in the document’s audit trail and be viewable for you, your colleagues at the commission, and reporters.

    If in any expense report changes have been made to Section III, you will see a detailed record of the changes in the program's audit trail. Like this:


    When screening expense reports you will be able to add notes that only commission staff will have access to.

  • Outstanding Budgets & Reports: This will display a list of forms/reports that need to be submitted by the program.

  • Metrics: This will give you an immediate picture of where the program is with its finances based on its most recent form/report submissions.

     
    As documents are approved, the Metrics section is updated in real-time.  Reporters have a comparable view of these same metrics for their own program when they log into the platform.

  • Screened Budgets & Reports: This will display links to all approved and currently-rejected forms/reports.

  • Program Enrollment Details: This will display all of the information you entered when enrolling the program into the program year.  Click the “Edit” link in this section to update any enrollment information in real-time.

Budget Variance History

You can track budget variance percentages from your dashboard and within expense reports. 


To see budget variance percentage history from your dashboard, follow these steps: 

  1. On the left-hand side of your Mission Control, click Financial Reporting.

  2. Select the program year you’d like to access and click View Dashboard.

  3. On the next page, you’ll see a list of all of the programs connected to the program year. Click the one you'd like to review.

  4. Open the Metrics panel to see the Budget Variance Percentage. 

  5. Click the percentage to see a history.

To see budget variance in a program's Expense Report, follow these steps: 

  1. On the left-hand side of your Mission Control, click Financial Reporting.

  2. Select the program year you’d like to access and click View Dashboard.

  3. On the next page, you’ll see a list of all of the programs connected to the program year. Click the one you'd like to review.

  4. Open the Screened Budgets and Reports panel and click the expense report you'd like to review. 

  5. Scroll to the bottom of the expense report and review the Audit Trail. Here you'll see details about the budget variance and link to the history.
