Reporter Re-enrollment

Is your reporter re-enrolling for a second program year? Here's everything you need to do to make sure they are updated effectively. 



1. Update Returning Reporter Timesheet Assignments (One-by-One)

To update your returning reporter's Timesheet Association and Template for the new year, follow these steps:


  1. On the left, in your Mission Control, click Reporters, Staff, & Sites.

  2. On the right, click Manage reporter accounts.

  3. Click on the name of the reporter you would like to update.

  4. Find the Timesheets Settings panel like the one in the following image and click Show Dashboard.

  5. A new tab will open. In this tabconfirm that hours for the previous program year are accurate and that all sheets have been approved before reassigning. 

  6. Return to the reporter profile tab and in the Timesheet Settings Tab, select Edit:

  7. In the pop-up window, connect the reporter to their new Timesheet Association and Timesheet Template assignment using the drop-down menu.

  8. Click Update to save your changes.



2. Update Returning Reporter Type 1 Associations

*Some programs do not use Type 1 Associations. If this does not apply to you, skip this step. 


  1. On the left, in your Mission Control, click Reporters, Staff, & Sites.

  2. On the right, click Manage reporter accounts.

  3. Click on the name of the reporter you would like to update.

  4. Find the Associations panel and click Edit

  5. A new pop-up will open. Select any new association items. (e.g. Assign this reporter to the new program year to ensure they see the new program year panel and survey questions.)

  6. After adding/removing all relevant association items, click Update.





3. Update Returning Reporter Site Assignments

*If your reporter's site assignment has not changed, skip this step. 


  1. On the left, in your Mission Control, click Reporters, Staff, & Sites.

  2. On the right, click Manage reporter accounts.

  3. Click on the name of the reporter you would like to update.

  4. Find the Site Assignment panel and click Edit

  5. A new pop-up will open. Remove the old site (if necessary) and select the new site(s) from the list.

  6. Click Update.



Alternate: Update Returning Reporter Timesheet Assignments, Associations, and Sites in bulk

More than one returning reporter? No problem. Here's how to update that timesheet information in bulk.

  1. On the left, in your Mission Control, click Reporters, Staff, & Sites.

  2. On the right, click Manage reporter accounts.

  3. On the right, in the More menu, select Import Reporters link.
  4. Create a template and prepare your Excel sheet for import with the new timesheet, association, and site details for your returning reporters.  

  5. At the top of the page, under the section called Import Reporters, navigate to Step 1 and choose Update Existing Reporters. 
     

  6. Under Step 2, Click Choose a File and upload the Excel sheet you've prepared. 

  7. Under Step 3, click Upload Excel File.
  8. Next, map your Excel columns to the corresponding fields available in your Impact Suite. 


  9. Once you have confirmed the accurate mapping of fields, click Preview Import.

  10. A pop-up will appear inviting you to add more fields. Press Skip and Import.



  11. Now you will have a chance to Preview Import. This is a good opportunity to make sure you properly mapped your template. If you find issues, you can use the Map Fields back-button to correct any mistakes. 

    Once you’re satisfied with your preview, proceed to Perform Import.


  12.  A radio button will appear, select to Update duplicates with Excel data:

  13. Once again, confirm to Perform Import.

  14. You will receive a confirmation that duplicate records were updated.
