Screening Timesheets: Reporter-by-Reporter (Rejecting after Approval)

There may be times when you or a member of your team will need to reject a timesheet after it has been approved.

Here’s what to do:

  1. On the left, in your Mission Control, click Timesheets.

  2. On the right, under the View & Screen Individual Timesheets section, choose your timesheet template.

  3. Under Reporter Selection, click Display relevant reporters with pending sheets.

  4. Click the name of a reporter.

  5. Under the Approve Sheets section, find the sheet that needs to be returned to the reporter and click the sheet’s Screen link.

On the next page, you’ll see:
    • A day-by-day breakdown of the time the reporter logged for your site.

    • A section called Totals for This Period that totals all of the hours for the period.

    • A section called Audit Trail that tracks all of the actions that have been taken on the sheet.

    • A section called Action where you can approve or return the sheet.

  6. To Return a sheet:
    • At the bottom of the page, select “I do not approve this time sheet for the following reasons.”

    • In the text box, describe the specific reasons for returning the sheet. The reporter will see this text and will use it to figure out what they needs to correct. If you are not specific here, you are setting yourself up for lots of back-and-forth and frustration for both you and the reporter.

    • Enter your name at the bottom of the page.

    • Click Submit.

    • Your program staff will be informed of your decision.

    • You’ll receive an e-mail when the reporter resubmits the sheet.
